SBI Clerk / Junior Associate document requirements

State Bank of India · Junior Associates 2026 (Advt. CRPD/CR/2026-27/17); registration ran 11-31 August 2026

Which SBI rules this page follows

Everything below is based on the SBI Junior Associates 2026 advertisement, Advt. CRPD/CR/2026-27/17. Online registration for that round ran 11-31 August 2026. The upload rules sit in Annexure-II, on page 9 of the advertisement. SBI lists each recruitment on its careers page, and you can read the full advertisement (PDF) there too. If a newer clerk advertisement is out when you read this, check its annexure first, since sizes and the declaration wording can be revised.

Four images, one format

For this advertisement SBI asks for four uploads: a photograph, a signature, a left thumb impression and a hand-written declaration. All four must be JPG or JPEG, and the notice sets a minimum of 200 DPI. An easy way to remember the KB windows is from smallest to largest. The signature is the lightest, from 10 KB to 20 KB. The photo and the thumb impression share the same window, 20 KB to 50 KB. The declaration is the heaviest, from 50 KB to 100 KB. Each window has a floor as well as a ceiling, so over-compressing is just as risky as forgetting to compress.

Start with the declaration

The declaration takes the longest, so write it first, while your hand is steady. Use English, black ink and white paper, and write in your normal handwriting rather than capital letters. The SBI text includes your date of birth and the line "The signature, photograph and left thumb impression is of mine". Copy the full wording from the advertisement itself. Do not work from memory or from a friend's sheet for another exam, because the text may not be the same.

The written block should measure 10 cm x 5 cm. Mark the corners lightly in pencil, keep your writing inside them, and rub the marks out before you take the picture. Check that the date of birth you write matches the one you type into the form. The finished image is listed at 800 x 400 pixels and must weigh 50 KB to 100 KB. A clean page with neat writing compresses very well, so this is the file most likely to land under its minimum. Meet Minimum Size lifts a file above a floor without changing the picture.

Ink work: signature and left thumb

Sign on white paper with black ink, and not in CAPITAL letters. SBI says this signature must match the one on your call letter and attendance sheet, so use a signature you can repeat comfortably every time. A gel or fountain pen with a medium tip gives strokes thick enough to survive compression; a faint ballpoint line can break up. The image is listed at 140 x 60 pixels and must stay between 10 KB and 20 KB, so crop close to the ink.

For the left thumb impression, black or blue ink both work, on white paper. Press straight down, lift straight up, and aim for a print that fits a 3 cm x 3 cm square. The image is square too, listed at 240 x 240 pixels, within 20 KB to 50 KB.

Taking the photo on a phone

SBI asks for a recent passport-style colour photograph, looking straight at the camera, against a light background that is preferably white. Caps, hats and dark glasses are not allowed. Some general tips help a lot here:

  • Use the rear camera, not the selfie camera, and switch off beauty filters and portrait blur.
  • Stand in open shade or near a window, never under a single overhead bulb that throws shadows under your eyes.
  • Leave space around your head in the original shot, then trim it with Image Crop.
  • Bring the trimmed photo to 200 x 230 pixels and 20 KB to 50 KB with Fit Image to KB.

The advertisement also notes that a live photo is captured by webcam or phone.

Why an SBI upload gets rejected, and the quick fix

  • Wrong format. iPhones often save HEIC and screenshots are PNG. Convert them properly with Image Convert; changing the extension by hand leaves the real format untouched.
  • Too heavy. A raw phone image is many times the ceiling. Resize and compress to the window rather than only one of the two.
  • Too light. Signatures under 10 KB and declarations under 50 KB are common. Raise them instead of rescanning at random.
  • Grey paper or shadows. White paper photographed under yellow light looks grey or cream. Retake it in daylight.
  • Blurred writing. Tap to focus on the ink before you take the shot, and hold the phone parallel to the page.

When all four files are ready, open Portal Preflight for SBI Clerk and check them together against the table above. This tool and the others linked here run in your browser, and your files are not uploaded to DocNimble. Keep the untouched originals in a folder too, so you can redo any file if a future SBI notice changes the rules.

Frequently asked questions

Is the live photo the same as the photo I upload?

They are two separate things. The advertisement asks for an uploaded photograph file and also notes that a live photo is captured by webcam or phone. Prepare the JPG in advance, then sit for the live capture in good light, facing the camera, with a plain background behind you if you can. Looking broadly the same in both is sensible general advice.

My declaration file comes out under 50 KB. Will SBI accept it?

Not as it is, because 50 KB is the minimum for the declaration in this advertisement. First make sure the image really is 800 x 400 pixels and not smaller. If the size is right and the file is still too light, raise it with a tool built for minimum sizes rather than adding scribbles or a grey background, which would make the declaration harder to read.

Can I reuse a declaration I wrote for another bank exam?

It is safer not to. The SBI text for this round includes your date of birth and the sentence about your signature, photograph and left thumb impression being yours. Other recruiters, and other years, may use different wording. Write a fresh copy from the SBI advertisement you are actually applying under, in English, black ink, and without capital letters.

I always sign in capital letters. Can I use that signature?

No. The advertisement says the signature must not be in CAPITAL letters. It also has to match what you sign on the call letter and attendance sheet, so choose a joined or cursive signature now and practise it until it comes out the same each time. Then photograph it on white paper and fit it to 140 x 60 pixels within 10 KB to 20 KB.

Should I use black or blue ink for the thumb impression?

Either is accepted for the left thumb impression in this advertisement, as long as the paper is white. Choose whichever stamp pad gives you the clearest ridges. Black usually photographs with stronger contrast, which helps the print stay readable after compression, but a clean blue print is equally valid. Take a few prints and photograph the sharpest one.

DocNimble reports the source and verification date but does not guarantee acceptance. The issuing authority's current portal and notification always control.
